Perfect Project management tool.

Comentarios: ActiveCollab is one of the best, if not the best project management tool that I have ever used and I have jumped from one to another tool for different projects and project types. If offers so many features, perfect dashboard, milestone preview, calendar, planner, contact details, time tracking and much more. While it is perfect for managing many different types of projects, this is still not the perfect tool for managing software development projects. The only reason for that would be, there is no (or that was not back then) an integration with Git or other version of control system. It was simply a missing feature back then.
I truly hope that nowadays the ActiveCollab team managed to improve and integrate such feature, but talking 6-7 years ago, that was the only downside that I can say about it. If for some reason that is still not available and you are into software development business, look for something else like Asana or Bitbucket.

Puntos a favor:

Great dashboard, different types of reports, milestone preview, calendars, time tracking tool are just a few of the features that make this software irreplaceable tool when it comes to project management.

Lack of integration with Git or another version of control system.

Comentarios: Overall very smooth experience for me. Fast bandwidth. Bug free experience.

Puntos a favor:

Project view grouping and filtering with grid and table layout. This is a killer feature for my use case.Very simple yet comprehensive overall system design. This is important for me as my coworkers came from different backgrounds.Activity View is very effective to have an overall view on what's going on without wasting a lot of time.Mobile Application gets the job done. No bugs, no unexpected behavior.

Puntos en contra:

The optional GetPaid (invoicing and payment management) paid add-on is honestly not for me. It's a very nice and really good addition for more simple uses case like when we just started business, but It definitely needs more attention to fit our needs. We finally opted for a more specialized product to keep track of our finance.

Comentarios: It was nice in the beginning but I just soon realised I needed something with easier to use features and no hidden costs. Onces a app like this becomes too complicated to navigate or customise - you will not use it as you need to daily because of that hassle.

It is beautifully designed so initially it seemed easier to use and navigate. It had a client portal and I could track my jobs and invoice/do estimates all from one place.

Puntos en contra:

It has hidden fees. Everywhere it advertises itself as only 7.50 a month. - But using the MAIN FEATURES OF WHY I WANTED THIS APP is extra, like invoicing, time tracking and using the client portal. This was not made clear initially. The client service is terrible. I would ask questions but there response was really terrible english language - not what I would expect from an international app that everyone should be able to understand. Especially a client service person called Darla. Terrible and rude manners and unhelpful.!

Comentarios: We have been using ActiveCollab for around 4 years now and they continue to work on ways to fineness the tool for the better. The support team has always been very responsive -- although we have only had a few SOS calls they AC team reacted quickly and we were able to continue work with very little interruption.

Puntos a favor:

Visually easy to see what projects and tasks are priority. I also love the budget tracker which allows me to make sure projects stay on budget. This program is extremely easy to learn to use as both an administrator and a day-to-day user. I have worked with so many project management systems in my career (some at a much higher price point) and ActiveCollab is a true competitor for a fraction of the cost.

Puntos en contra:

When pulling invoices, I wish we had more options as to how to import the time entry notes. Because we require our team to place notes as to what they were doing for the hours logged - we do spend more time than desired editing invoices once the data is pulled in.

Comentarios: ActiveCollab is a fairly complete and widely tested project management tool that can cover project management needs in a simple and effective way, as well as being ideal for incorporating members into the work team without the need for training since its intuitive interface is easy to adopt.

ActiveCollab is excellent for organizing our tasks using different views, among the most used we have List, Kanban, and Gantt types, which makes it a very good candidate to be used in all types of projects, whether under a cascade or waterfall methodology, as well as in agile work environments. It also allows us to add notes to the tasks, and generate a collaborative discussion environment that is assigned to each task, to generate amazing results.

An outstanding feature is its design, which allows us to have wide visibility to observe how our projects develop, since we generate collaborative discussions, complete tasks, and record the progress, from different views, available to the roles and users that participate in the project. It even allows us to participate with clients, to share comments, information, and evidence of progress in activities.

Comentarios: Despite the above mentioned short comings (search functionality and date entry on estimates), overall Active Collab is a great asset to our team and our companie's ability to track all projects and billings in one place. We find it indispensable.

Ease of use and implementation. Simple staff on-boarding and intuitive interface.

Poor search function and lack of ability to enter a date on estimates... crazy that such a well rounded and useful software lacks a full feature search function and doesn't allow (nor even auto generate) a date field on the estimate form.

Comentarios: Our team manages all of our projects through ActiveCollab, and that includes budgeting, tasks, and time management. Without it, we'd be lost in a sea of emails and Slack messages.

Some of the menus are hard to find and I'd really like to see a comprehensive calendar approach to tasks, vs just per project.

ActiveCollab's ease of use and straightforward setup made it extremely helpful. The forms that were provided when tasks were created gave everyone a clear understanding of the work to be completed. Its task tracking feature was incredibly useful to track project status and progress, while its comment compression feature allowed for quick references to conversations without needing to scroll through long comment sections. All of these factors combined made ActiveCollab a very helpful tool.

Puntos en contra:

Although I think ActiveCollab is an excellent tool, I do find the interface to be a bit overwhelming. There is a steep learning curve as the tool is quite feature-rich and quite a few tabs and options to learn. It may take a few minutes to get used to the interface. Other than that, I have had no issues with ActiveCollab.

Comentarios: The overall experience using ActiveCollab is smooth although there are some discomfort using the dashboard. The dashboard is something that need to improve.

My favorite tool in ActiveCollab is the task management feature. I can easily track users and comment on their task progress. I can also estimate the duration for each task and make various planning with the project goal in mind. Furthermore, I can also add attachments like images and documents from my desktop. The invoicing feature is also something I like as creating and tracking invoice is straightforward and simple.

Puntos en contra:

One of the drawback of ActiveCollab is the lack of integrations with other apps. In addition, there are a learning which new users need to overcome. However, after conquering the learning curve it should easy to use. Another dislike is the dashboard which is not so user friendly.

This system is the very bedrock of client collaboration in our company. We simply need it.

Diversity of features. It covers calendar integration, task management, expense and time tracking, client estimates and invoicing is integrated, discussions with clients are threaded and neatly organized at all times, file uploads that act as a mini-Dropbox for yourself and your clients, notes, facebook-style timeline of the activity within each project... And I haven't even touched on the level of customization, multitude of extensions (Zapier included), scalability (with self-hosted options!), and the iOS app that works with either cloud or self-hosted versions (our clients LOVE the app). We love ActiveCollab because of it's diversity. That's the one reason that in our opinion, it's simply irreplaceable. Having to replace it would be like adding tripling the administrative work on our plates. It replaces the need for multiple separate services that do each of those things separately. Who wants that when you can have one single login to one single system that can rule them all? ;) SIMPLY. IRREPLACEABLE.

The iOS and Android apps needs some work. They don't do as much as the desktop version, so they feel limited. They don't really take advantage of features like gestures or multi-touch, which every smartphone has. We'd really like to be able to upload more than just pictures from the camera roll; some kind of file picking, or option to upload to ActiveCollab from another app (share sheets) would go a LONG way. Optimization for tablet-size screens would be sweet too, along with the simple ability to make text in the app bigger or smaller, so it's easier to read. The calendar allows for syndication via subscription links, but stopping there feels premature. It would help a lot to be able to integrate to Calendar apps (via CalDAV), since the calendar isn't available on the mobile app either. It would be really nice so that we can add or edit events from our native calendar apps of choice. Support is fantastic, and extremely knowledgeable. We run a self-hosted installation, which is more economical for us, but we don't have pros running our server environment. That task falls on us, teaching ourselves as we go, and it feels like support will drop clues about what an issue is, instead of going the distance and going in themselves to help fix the problem. Granted, that's more of a problem with /us/, since we're business administrators and not experts in server management. But support will not abandon you. They've always got your back, no matter how tough the problem!

The platform makes communicating with team members a breeze. We have a multitude of projects and tasks within the three departments - A/C helps keep everything organized and on track. LOVE the landing screen "My Work". The calendar view is awesome for our morning meetings. It is great that we can filter by person or project on the calendar. It's a robust feature that other platforms did not have. Really enjoy the notifications when I mention a team member. The robust area within a project including Tasks List, Discussions, Files, notes, Time, Expenses, Activity is great. Not only does it encourage collaboration it fully supports remote work. On the task list, we can drag/drop tasks. Filter by assignees, tasks lists, due dates, or completed tasks. You can also review the overall project progress. A/C has some great reporting features. I like how we can star projects. Simple features like that are NOT overlooked in the A/C platform. Time tracking, invoicing, and estimates functions look great. We haven't used them yet but we will eventually. I appreciate the pricing. The customer support is quick and responsive. Our team has embraced the platform and I feel we will continue to use it for years to come. I would recommend the platform to others.

Disclaimer: We use it a bit outside of its intended purpose. Our group is Marketing, Web Development, and IT. Although there are a ton of project-based objectives within the departments there are some marketing functions that are not project based. This is the biggest thing I've got it's not a deal breaker. Maybe extend the software to include flexible user accounts or setup different types of project areas. That isn't necessarily project oriented. Minors: Recurring tasks are a bit of a pain to setup the first time Multiple different calendars confuse people sometimes and they end up creating a calendar for themselves. Maybe we could setup tasks requiring a sign-off? Maybe this is already a feature and I don't know how to do it yet?

Comentarios: Increased project efficiency, improved client satisfaction through better scheduling, better communication, and giving clients open access to interact with us on project tasks (while easily limiting them from internal discussions they don't need to see). Saved time on recording project data and improvements/lessons learned, saved time invoicing thanks to time tracking and integration with accounting software, and have a centralised document store for internal use (apart from client projects) without needing to manage a duplicate access permission system.

Puntos a favor:

Lots of detailed helpful features which don't complicate the interface but are great when you start using them. Customer support has pointed some out when I put in what we thought was a feature request... but it already existed and I'd missed it. Actively developed and continually updated without annoyingly changing things unnecessarily or 'fixing' anything that isn't broken.

Puntos en contra:

Using Elastic Search as the only available search feature is limiting, as it's difficult to host and especially so in a shared hosting environment. Without Elastic Search, there's not even a simple text search available for project/task/comment description. There's a couple glitches that pop up from time to time but customer support has been responsive about them and some of our suggestions have been included as feature requests.

A life changing tool!

Comentarios: Overall ActiveCollab makes my life easier.

Active Collaboration is super intuitive and affordable. Before switching to Active Collaboration a few years ago we used WorkFront and it was an absolute nightmare. After 10 months of getting templates set up and trying to learn how to use them our team was so frustrated that I knew that I wouldn't be renewing that tool for another year. Active Collaboration is so easy to use, it literally takes 10 minutes for me to walk a new team member through the tool when coming onboard. I've learned over the years of project managing that if someone doesn't understand how to use something or its too complicated to input a simple request or comment in, they aren't going use so it, they will default to email or drive-byes. I just don't have that problem with Active Collaboration. I highly recommend it.

I wish there was a feature that if you change a task date there's an option to move out all the dates at one time.

Convoluted structure is a hindrance to workflow

Comentarios: We ended up transferring from ActiveCollab to Teamwork fairly quickly because it caused some business problems for us. Issues were missed (especially subtasks), and we lacked the reporting structure we needed to keep a good grasp of resourcing and individual task progress. The time logging structure was also a pain point compared to alternate software options we've since pursued.

While I will say I don't like much about this software, the budget and description location/transparency works well for the task workflow. It is fairly easy to include all necessary information in an individual task, but detail tracking and dependencies are where this ease of use falls off.

Puntos en contra:

The relationship between tasks and subtasks is a pain point and lacks clarity/definition. Sometimes there would be dropoff when trying to upload attachments, and they would not actually post to the task. ActiveCollab doesn't have a great reporting structure (compared to Jira) for our specific needs, and that ended up being a hindrance to workflow. For as complicated as the reporting section looked, I felt it was lacking. While it isn't a functionality issue, I also dislike the visual design of the software - it feels antiquated and can be draining for such a frequently used tool. Time logging was difficult compared to the software we moved to later.

Great task management application

Activecollab are great, we were previously using 3 different Basecamp accounts for our sister companies. Basecamp was becoming a nightmare, it's ugly and the support is bad. We frequently have projects running over as an example, usually as we are waiting on information so we need to manually update every task deadline (Slow and painful) Activecollab allows selecting the project and bulk updating the deadline on the tasks, or in a list view one by one which is quick and easy. We opted for the self hosted version and use an amazon AWS Elastic Search Service for searching. this is so much cheaper than what Basecamp was costing and so much more user friendly. Anyone big plus factor is, we were able to customise the software a bit (Against their guidelines) to give it some branding for our company by including an additional CSS file, we have to add this after every update but it's worth it.

Lack of built in customisation Email sending is limited in regards to daily reports etc Requires Elastic Search which is on another server/service, whilst not a huge deal it would have been nice to have a local native search and a high performance option using Elastic Search.

A great project management tool for design studios

We've been using ActiveCollab since version 1. We needed more features and flexibility than other project management systems provided and we also were looking for an invoicing system. ActiveCollab provided all of that in one package and we could buy a license to run on our own server instead of paying monthly fees. This pricing model was very attractive for us along with the extra features to make the system fit our project management workflow, made ActiveCollab an easy choice.

The mobile app isn't the best. For those who heavily rely on using their project management system on mobile, this might be something to consider. I'm not a fan of the themes in the theme option, but if using the self hosted version, then you could potentially adjust styling to fit your business better.

Active Collab is helpful in keeping everyone on the same page and up to date on tasks

Comentarios: Overall, I really like ActiveCollab as a project management tool. We have been able to onboard folks to it quickly and again, I like to have one place that I can go and see all my active projects and current tasks. You are also able to see past projects and tasks.

I like that I can go one place and see all my tasks for the projects I am a part of. It is easy to tag people and the software is pretty intuitive. It allows many people to be part of the big picture and stay up to date on the progress of projects. It also cuts down on the number of emails I need to send because I can follow up on items within the program and tag people.

Puntos en contra:

The customer support often leaves something to be desired. When issues arise it is not usually a quick fix and when Active Collab is down, our project management comes to a halt because this is the key to our success. The everyday support for quick answers is fine, but when major issues arise the solutions are not always quick.

OK for task & project management

Comentarios: It is an average tool that will get the job done for anyone that needs basic task and project management.

Puntos a favor:

This tool is intuitive to use and had a pretty easy ramp-up period. Projects can be organized easily and tasks are easy to create and assign out. The comment function works well for tracking task updates and notes.

Puntos en contra:

Does not have a task workflow built into it, and is not great if you have more advanced project tracking needs. The time tracking also needs improvement.

Feature-rich, flexible project management with great support

Comentarios: Flexible, robust project management with great support.

While some project management systems try to force their own project management paradigms, ActiveCollab allows you the freedom to decide how you will manage your projects. Kanban? Click a button. Gannt? Click a button. You can easily manage milestones, tasks, files, discussions, time-tracking et al. however needed and have every feature you'll need or want available. Their support and development has been amazing. Quick replies, quick changes to the core product for quality-of-life requests.

Puntos en contra:

Rich text could use some work as adding formatted content will sometimes yield awful results. Needs a better way to sort/view items in "My Work" based on tags and deadlines e.g., view all tasks due that week or all view all time based on job types. A responsive design and more fluid UI would also be a welcome change.

ActiveCollab is great for keeping in touch with colleagues around the world - makes it fast and easy

Comentarios: Ease and speed of use, ability to tag co-workers, review discussions easily and keep track of tasks.

I love the fact that it's linked to my email account, so if there is a new post I know about it quickly! It's also great that I can reply to threads directly from my email, that feature is so helpful. I like that the threads within ActiveCollab are easy to keep track of, so no more wading through emails trying to find a reference to something! The interface is quick and easy to use, and it's great being able to tag co-workers in threads to grab their attention.

Puntos en contra:

There isn't much to be honest, but I suppose I would like it if the software took me directly to recent activity, as when there are a lot of projects sometimes I find it hard to navigate my way to the thread I'm looking for. But that's a minor quibble! Other than that, I really enjoy using the software.

The UI the software really needs a little colour, I know this is a little thing but I also know it is important to some people. Although the android app works well, I have a personal preference for seeing my task lists on a homescreen widget not having to access through an icon

Comentarios: Healthier and happier team... creativity up due to managers and admins kept at bay. Because they feel like they can see everything that's happening with long term and short term projects, a freedom for creatives to be creative has been a very welcomed change. We're faster at what we do and quality has gone way up. Efficiency is becoming our norm.

Puntos a favor:

MOST: The desktop version. Structurally and organizationally sound. Streamlines workflow and allows multiple leads to see the workload and run reports on their various departments. Really helps with tracking estimated time for the individual and their part in the project. Communication is up and the stress of the communication is way way down. Creatives have more freedom and administrators and managers feel like they have the control they need. Love the Command+K shortcut we found today. We're still learning how to customize it to our team. It has made dealing with 60 national brands much easier and has put an end to the grade school feeling of walking up to the gigantic whiteboard to move color blocks around.

Puntos en contra:

Notifications - We believe if a Project is set up and has multiple tasks that run linearly, we should be able to connect them and have a notification sent to the next person when the person before them has completed their task - An automated "passing of the baton" type of thing.

I have been an advocate of Active Collab and I have been taking it with me with every new company

Comentarios: It's a great contractor\agency tool. But you don't have to be an agency, its great for in-house too

Puntos a favor:

Easy to use, affordable, logical, logical, really helps. The latest version has greate GUI and I have been using this tool for last 4 years. I first used it at Xivic, then took it with me to Get My Auto, Everything Online, Digital Advertier, and now my own consulting firm.

Puntos en contra:

I wish it would connect to other project management tools such as basecamp, asana, etc. I work with many contractors and vendors and if I could do everything in active collab, then it would create a ticket in their platforms, it would be awsome.

One of the best project management softwares I've used (and I've used a lot!)

Comentarios: I have used a lot of project management software between different jobs and Active Collab has by far been the easiest, most straightforward, and practical. I love how streamlined it is. I've used far too many software that try to do too much at once and there are WAY too many buttons and options to complicate things. Active Collab gets the balance right between offering lots of features and keeping the interface user friendly. While there are a few features I wish this had, Active Collab has been great at listening to their users by adding requested features. I greatly appreciate it!

Puntos a favor:

-Easy to see everything assigned to me -Ability to star projects to keep them at the top -Multiple timers all reside under a convenient clock icon at the top -Ability to add reminders -Labels

Puntos en contra:

-Can only sort tasks by name, project, or due date. I wish you could sort by more than one thing at a time (i.e. By project AND due date) -Sometimes buggy, but a simple refresh usually fixes the problem
